Disbursement for Books and Supplies

All Title IV Financial Aid eligible students who have been awarded financial aid at least 10 days before the beginning of the payment period, who have registered for courses at least 10 days before the beginning of the semester, and whose awarded aid is in excess of their charges for tuition, fees, and as applicable room and board will be provided with the means to purchase books utilizing their excess financial aid. 
  • The method of purchase is called a "Bookstore Voucher," however, the bookstore voucher is not comprised of additional funds above and beyond the student's financial aid award. Using the voucher will lower any potential financial aid refund by the amount spent to purchase books with the voucher. 
  • Only books required for the student's course and books not required but useful to the student in the pursuit of student's degree (Dictionaries, Bibles, Bible Commentaries, Lexicons, recommended but not required course resource volumes, etc.) are allowed to be purchased with the voucher. 
  • Enrolling at a lesser status than the enrollment status used to award the aid will require that the award be adjusted to match the new enrollment status, which may lower any projected excess aid amount. 
  • Changes in the student's enrollment status after the disbursement of funds/credit for books and supplies may result in lowered or no eligibility for financial aid fund and thus the student may owe the institution a return of some or all of the disbursed funds/credit for books and supplies. 
  • Non-Title IV financial aid will not be considered in the projected excess aid calculation unless it has been disbursed to the institution at least 10 days before the beginning of the payment period. 
  • If the projected excess aid amount is less than the amount estimated by the institution for books and supplies for the semester, the amount credited to the student for books and supplies will be the amount of the projected excess aid.
  • If the projected excess aid amount is greater than the amount estimated by the institution for books and supplies for the semester, the amount credited to the student for books and supplies will be the amount estimated by the institution for books and supplies for the semester. 
  • The amount estimated by the institution for books and supplies per semester is the amount used by the institution to determine its students' Title IV Cost of Attendance budgets. 
The funds for books and supplies are made available to the student in the form of a credit at the Valor Christian College Virtual Bookstore. 
  • Students who do not wish to purchase their books at the VCC Virtual Bookstore may obtain their books via any method they choose. 
  • Any unused VCC bookstore credit will be refunded as part of the student's regular financial aid refund. 
  • Due to billing frequencies, invoices for books purchased with credit at the VCC Virtual Bookstore may not always be provided to VCC in time to be applied to the student's account and deducted from the student's financial aid prior to the regular financial aid refund. Should this occur, the charges will be applied to the student's account and will be due immediately upon notification of the student.
